Position, Department: Administrative Assistant Student Services and Success

Type of Position: Full-time Hourly, Non-Exempt

Work Schedule, Hours per week: Monday-Friday, 8 a.m.-5 p.m., 40 hours per week

Pay Grade/Pay Range: $18.15 - $22.69 *Actual pay depends on qualifications

Position Summary: Perform administrative assistant duties for the Dean of Enrollment Services and Dean of Student Services & Learner Engagement. Processing of office operations for the division and assist as back-up in the operation of the office of the Executive Vice President of Student Success & Engagement.

Required Qualifications:
  • Associate degree and three years of related work experience, or equivalent combination of education and experience
  • Working knowledge of Microsoft Word and Excel
  • Ability to work fluently within various types of software (including word processing; spreadsheets; graphics/presentation; database; custom applications)
  • Effective problem-solving skills, including conflict resolution and situation de-escalation
  • Strong organizational skills with the ability to work on numerous projects simultaneously; flexibility
  • Detail oriented with commitment to accuracy while meeting deadlines
  • Effective interpersonal skills with the ability to work with a diverse student and staff population

    Preferred Qualifications:
  • Experience working in an educational setting
  • Experience with Banner
  • Thorough understanding of the College, including its organization, processes, and key contacts
  • Administrative assistant experience in an executive office

    Position Details: Job duties include but are not limited to:
    • 1. Maintenance and processing of confidential correspondence and files. Operation of filing systems within the JCCC policies, guidelines, and state/federal regulatory guidelines. Performance is acceptable when: a. Maintains confidential records of students as related to the Student Code of Conduct, student grievances, Title IX and VII, OCR, Clery Act, ADA plus other state and federal regulatory obligations of the Dean, Enrollment Services and Dean, Student Services & Learner Engagement Offices. b. Performs confidential processes, correspondence and consultations with students, staff and other stakeholders' compliance within the framework of FERPA and other state/federal confidentiality guidelines.
    • 2. Maintain the Leadership role with operations of the Dean of Enrollment Services and Dean of Student Services & Learner Engagement offices and divisional processes by providing leadership to the Directors and Administrative Assistants in the division and other internal/external stakeholders for direction and resource for policies and procedures. Performance is acceptable when: a. Assist staff, students and visitors with issues by responding effectively to questions, complaints and problems. b. Screen incoming telephone calls for the office and mail for the Dean, Enrollment Services and Dean, Student Services & Learner Engagement. c. Coordinate and maintain appointment calendar, travel schedules and budget expenditures for supervisors. d. Coordinate and schedule use of college facilities for staff meetings and various college-wide committees. e. Participate on college-wide, division and department committees. f. Provide back-up administrative support to the Executive Vice President of Student Success and Engagement when necessary.
    • 3. Maintenance of information within Banner, student information system. Oversee the functions of processing student record information in Banner connected with the Dean, Enrollment Services and Dean, Student Services & Learner Engagement offices. Performance is acceptable when: a. Enter data/information and maintain system processing including pre-approval of Banner access requests for employees, College Now programs, all requests and requisitions including follow-up. b. Process late withdrawal and refund appeals for students. c. Monitor and maintain accounts including office supply inventory for the department.
