Blind Ambitions is seeking the right candidate for an Administrative Assistant/Dispatcher/Customer Service Representative position. The right candidate will represent our company and fulfill the scheduling needs of our clients on a daily basis. A day in the life... -Multi-tasking, organization, multi-tasking, organization. Seriously, if you can't operate 2-3 PC monitors, understand what a browser tab is, run multiple programs in multiple windows and receive, answer, notate and file 100+ emails a day, then it won't work out ;) -Answer emails (lots and lots of emails arriving via MS Outlook), answer phone calls and more emails notifying us of new jobs to be scheduled. -Communicating effectively with builders and customers regarding their appointment times. (Phone, email and automated communication portals) -Creating appointments using our online scheduling system -Scheduling our installers to complete these appointments in a timely and customer friendly manner -Communicating to the builders any issues that may arise -Monitoring the installers to ensure they are completing duties daily and in a timely manner -Aiding in report tracking, creating work orders, and assisting in payroll processing. -Administrative needs include reading purchase orders, office equipment maintenance, and reporting. Job requirements: - Did we mention the ability to multi-task? Organization, an understanding of logical MS Outlook email files and filing. ATTENTION TO DETAIL (spelling, proper capitalization, when things don't belong, etc., etc.) Ability to recollect previous discussions that happened while answering your 99th email of the day, etc. Previous Crew Dispatch experience a plus. (Plumbing crews, Electricians, Cable techs, Sub-contractors, Linemen, etc.) Trucking dispatch isn't necessarily as relatable but previous work order/purchase order scheduling is a plus. Experience with any construction builder portals (i.e. SupplyPro, Jobber, VendorSuite, ECI/MarkSystems a HUGE plus.) Excellent personal, phone, and email etiquette, VERY strong internet and computer skills, punctual. $1,500 Sign On Bonus upon 120 days employment.
