YOUR SPECIFIC RESPONSIBILITIES:

This position is responsible for providing administrative support services for the WIC Program in Orange County. Headquarters for this position is the Florida Department of Health in Orange County's administrative offices at Lake Ellenor. Other responsibilities include monitoring of the voter registration activities of the WIC Program. Travel may be required.

Processes invoices for payment of WIC program expenses, performs appropriate transactions in state financial system to complete payment of WIC program financial obligations. This position follows and monitors compliance of the mandatory requirements in Section 215.422, Florida Statutes, and Chapter 3A-24, Florida Administrative Code. Create Blanket Purchase Orders, Term Purchase Orders, and change orders for the department utilizing MFMP (AOD) purchasing system in the preparation of requisitions for procurement of goods and services. Complete order of office supplies and HST supplies for each site quarterly and as requested by clinics. Tracks processing of requisitions for completion of purchase card or purchase order approval, also receive goods in MFMP. Collect and maintain P-card documentation for WIC administrative staff completing p-card purchases. Logs and maintains spreadsheet of all invoices received.

Process Special Formula invoices for formula orders received from clinics for clients. Ensures receiving reports are received for each invoice and both submitted to State WIG office for completion and process for payment approval. This employee complies with the mandatory requirements in Section 215.422, Florida Statutes, and Chapter 691-24, Florida Administrative Code

Assist Supervisor with the completion of the WIC Financial Monthly Report and completes Special formula invoices for payment to Tallahassee. Assist with maintaining documentation for support of all monthly expenses.

Conducts routine reviews of WIC voter registration activities In Orange County. Documents dates of reviews and findings in WIC Administration SharePoint Voter Registration. Updates WIC staff of any changes/updates in the voter registration process.

Receives and routes telephone calls, the answers to which may Involve the interpretation of WIG program policy and procedure. Answers questions regarding access to WIC program services. Refers participants to appropriate health department services, other state programs and/or to applicable community agencies and organizations.

Performs other related duties as assigned.

Minimum Qualifications:

  • Current Florida Department of Health employee

This may include working in a special needs or Red Cross shelter, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural. Emergency duties may also include in-state and/or out-of-state deployment.
