Job Description:

The functions of a Registrar's Office have developed into some of the most important administrative responsibilities in higher education. The Office of the University Registrar is responsible for developing, administering, and monitoring academic policy, records management, registration processes, classroom and examination scheduling, enrollment planning and student information technology. Comprehensive automated systems support almost every function and process. All staff must utilize these systems to perform their duties.

The Coordinator I reports to the University Registrar Services Coordinator III in the Scheduling and Curriculum area. Primary responsibilities include ad hoc event scheduling, assisting with preliminary scheduling, supporting the current schedule of classes, exam processing and supervision of student assistant staff members.

Manages the ad hoc event scheduling process by reviewing and processing non-academic requests for room usage of university classroom space, utilizing the provided software solutions. Assists with the during term and final exam scheduling processes. Provides guidance and instruction to student assistant employees to process and check the ad hoc event scheduling workload.

Assists the Assistant University Registrar with the Schedule of Courses development and maintenance processes which includes: processing and managing of academic calendars, editing and distribution of scheduling materials, editing and distribution of instructional materials, working with college and department coordinators to ensure access to the scheduling system, preparing files for future terms, working with technical support staff to run processes for upcoming terms, contacting departments to ensure deadlines are met, and answering department questions. Reviews and processes requests for updates to sections.

Maintains scheduling, curriculum and registration data by adding, updating and deleting records in interactive software solutions. Helps to maintain the curriculum inventory file which provides the authority for teaching each of the over 8,800 approved courses which lay the foundation for the development of the Undergraduate and Graduate Catalogs.

Reviews edit lists throughout the Course Development cycle and contacts departments to resolve those errors. Assists the Assistant University Registrar with the collection and the analysis of data relating to university space and facility utilization resulting in the publication of the termly Schedule of Courses. Assists with university-wide institutional research and statistical requests. Performs data analysis to provide appropriate statistical records to the Division of Enrollment Management. Provides support and feedback for updating web sites as well as creating and publishing data used by university administrators.

Provides direct informational service and support via email, phone, etc. to university staff, faculty, and students by evaluating and responding to inquiries regarding the previously listed responsibilities. Cross-trained to assist in all areas of the office during peak periods. Continually reviews internal procedures, systems, and recordkeeping methods with the intent to streamline and improve. Assists with research by providing information for the completion of reports, projects, and correspondence. Performs other related duties as assigned by supervisor.

Directly supervises area student assistants, managing time approval, developing daily task assignments, and evaluating performance.

Expected Salary:

$35,568 annually

Minimum Requirements:

Bachelor's degree; or an equivalent combination of education and experience.

Preferred Qualifications:

Ability to establish and maintain professional and effective working relationships with others; ability to supervise.

Knowledge of effective written and oral communication; ability to articulate and interpret information.

Ability to comprehend and interpret university and Registrar policies, procedures, and academic regulations.

Ability to establish work priorities and coordinate the timely completion of work assignments; strong organizational skills.

Ability to work independently, exercise good judgment, and work with minimal supervision.

Ability to maintain objectivity and confidentiality.

Proficient using Microsoft Office Suite.
